A technical review starts by reconciling the current-status report against the signed record. The report says what the aircraft is believed to have completed. The underlying entries, approvals and component history show whether that belief can be supported.

A polished specification and current-status report help locate the work. They do not prove it. Important conclusions must trace to signed maintenance entries, release documents, approved data and component history.

A seller should complete that reconciliation before marketing. Once a purchase agreement starts the clock, every missing document becomes a transaction problem.

The legal record and the transaction record overlap, but they are not identical.

For aircraft operated under Part 91, 14 CFR § 91.417 establishes owner/operator maintenance-record retention requirements, while Part 43 addresses entries made by people performing maintenance and approving equipment for return to service. The FAA's AC 43-9D, Maintenance Records, provides one acceptable means of complying with the record-making and recordkeeping requirements of Parts 43 and 91. Other operating rules, registries and program agreements may impose additional requirements.

A sophisticated buyer may require additional evidence to understand the aircraft's history and future exposure. A record can satisfy a minimum retention rule and still leave commercial questions about continuity, configuration, damage history, program participation or how a major repair was approved and accomplished.

The transaction review is therefore not limited to asking whether logbooks exist. It asks whether the available record supports the aircraft being represented and the delivery condition being negotiated.

Buyers need to establish the aircraft's identity and configuration.

The review should reconcile the airframe, engines, APU, propellers where applicable, serialized components and installed equipment with the specification and maintenance-tracking system. It should examine whether alterations are supported by approved data and whether the current weight and balance and equipment list reflect the aircraft as presented.

Supplemental Type Certificates, FAA Form 337 records, engineering approvals, wiring changes, interior modifications and avionics installations can all affect conformity and future maintenance. A beautifully executed cabin change is not complete from a transaction perspective if the supporting technical record is unavailable or inconsistent.

Time, cycles and life-limited status must be traceable.

Total time alone does not explain an aircraft. Buyers will evaluate airframe hours and cycles, engine and APU time, time since inspection or overhaul, life-limited component status and the assumptions used to project upcoming events.

Where source entries, removal-and-installation documentation or component tags do not support the status, the buyer may need additional research or may treat the uncertainty conservatively. Documentation can determine whether a component remains eligible for continued service and what the next owner must do to establish confidence.

A maintenance tracker can summarize the answer. The source record must prove it.

Airworthiness Directive and inspection compliance require more than a checkmark.

The buyer should be able to identify applicable Airworthiness Directives, the method of compliance, whether the action is terminating or repetitive and when the next action is due. The same discipline applies to required inspections, damage-tolerance items, corrosion programs and other model-specific obligations.

An entry that states an item was complied with may be insufficient when it does not identify the revision, method, aircraft time or recurring requirement needed to support the current status. Apparent clerical issues can sometimes be corrected. Others expose a deeper technical question that must be resolved with qualified maintenance personnel.

Damage and repair history should be understood—not hidden behind a label.

“No damage history” is often used casually. Buyers should examine log entries, repair drawings, engineering orders, structural inspection results, insurance information when available and evidence of lightning, hail, ground-handling, corrosion or foreign-object events.

A properly engineered, documented and maintained repair is different from an undocumented condition. The review must establish what occurred, how the aircraft returned to service, which recurring requirements remain and how the market is likely to evaluate it.

Attempting to minimize a known event usually creates more concern when the buyer discovers it independently. A credible explanation supported by records gives the transaction team something concrete to assess.

Program records affect both coverage and value.

Engine, APU, avionics and component programs have their own agreements, payment records, claims history, utilization reports and transfer requirements. The aircraft's logbooks do not establish that an account is current or that a particular event will be covered.

The seller should obtain current statements, identify any outstanding minimums or adjustments and understand what the provider requires at transfer. The buyer should verify those matters directly and evaluate the actual coverage described in the agreement. Our guide to engine programs and aircraft value addresses that review in detail.

Missing records change the inspection strategy.

When documentation cannot establish a condition or history, the buyer's technical team must decide whether the issue can be resolved through duplicate records, facility research, an inspection, engineering analysis or a different commercial allocation of risk.

The response should be proportional to the issue. Not every administrative gap justifies broad disassembly. Not every gap can be dismissed because the aircraft is currently flying. Yellowstone uses the records review to identify where physical inspection and MRO work can produce meaningful evidence.

Records review and the pre-purchase inspection should therefore be planned together.

Sellers should build the data room before marketing.

A prepared seller can organize records by airframe, engine, APU, components, inspections, alterations, repairs, programs and current status; confirm document legibility; reconcile specifications; and identify issues that require research or explanation.

Access should be controlled and confidential information handled appropriately, but the buyer should receive the agreed technical record early enough to perform real diligence. Late, disorganized releases encourage repeated questions and can make an otherwise manageable issue appear more serious.

The record should support a clear technical conclusion.

Complete records do not make an aircraft flawless. They make its condition, configuration and remaining obligations understandable. That clarity informs valuation, inspection scope, negotiation, financing, insurance, program transfer and future maintenance.
